School Uniform Fabric: A Buyer’s Specification Guide

Prepare a school uniform fabric brief with composition, GSM, colour references, wash review and approval criteria before requesting a manufacturer quote.

Start with the garment and its use

Separate the brief for shirts, trousers, skirts, knitwear and PE clothing. Record the intended season, layering, activity and care routine for each item. A single description such as school uniform fabric leaves important decisions unresolved across a whole range. Send a reference garment or swatch if available and explain what you want to retain or change. If a sensory-friendly option is part of the range, identify the contact areas that need separate review rather than assuming the standard fabric suits every wearer.

Record composition, construction and weight together

Ask the supplier to state the fibre percentages, fabric construction, weight in grams per square metre (GSM), and any proposed finish. GSM describes mass per unit area; it does not by itself establish durability, comfort or wash performance. Compare candidates against the same intended garment and record the approved weight tolerance. If you have no fixed material specification, state the priorities and request identified options rather than treating an unspecified cotton-rich fabric as a final production instruction.

Turn a swatch choice into a garment review

Label each candidate swatch with its supplier reference and specification so comments remain traceable. Review colour, surface feel and appearance, then check the selected material in the actual garment construction. Look at the collar, pocket, waistband or other relevant areas, including the inside surface. Approve decoration and its backing on the chosen material. A fabric swatch alone cannot show how an assembled shirt fits or how a decorated area contacts the wearer.

Define the care review before measuring change

Agree the washing and drying procedure, number of cycles, measurement points and acceptance criteria before comparing samples. CottonWorks explains that shrinkage is affected by fabric construction, processing, finishing and laundering, so fibre content alone is insufficient to predict the result. Record before-and-after measurements against the same sample identifier. For example, a hypothetical length changing from 60 cm to 58.8 cm has reduced by 2%; that calculation is not a factory test result or a recommended acceptance limit.

Ask for evidence against named requirements

If the buying programme requires checks for colourfastness, pilling or other performance, specify the method and pass criteria and ask what evidence can be supplied for the proposed material. Establish who arranges and pays for any additional testing before approving the quotation. Do not treat an unrelated report, a different colour or a generic fabric description as evidence for the exact order. Keep unconfirmed requirements visible until the buyer and supplier agree how they will be resolved.

Approve a material version before bulk production

Keep the selected swatch reference, composition, weight, colour standard, care review and garment approval in one record. Identify which substitutions require a new approval. Send the style-and-colour quantities with the fabric brief: our garment minimum is 100 pieces per style and colour, with four mixed sizes. Ask whether the proposed material or custom colour has separate sourcing constraints. Confirm availability and timing for the actual order rather than assuming that a low garment minimum guarantees every requested fabric can be sourced.
